Administrative Coordinator (Hybrid-Real Estate experience preferred)

Location: Reston, VA

Guidance Home Services is the preferred referral platform for Guidance Residential, we work to connect buyers with real estate experts in their local areas.

Using a highly trained concierge team, we monitor the relationship between buyers, agents and financing personnel to ensure that certain milestones are being achieved and that the overall experience is an enjoyable one. We are currently seeking an Administrative Coordinator to work at our head office in Reston, VA.

Summary

The GHS (Guidance Home Services) Administrative Coordinator provides experienced administrative and operational support to the Vice President by independently managing routine tracking, reporting, coordination, and follow-up activities. This role ensures accuracy, timeliness, and consistency across GHS performance tracking, commissions, expenses, and team coordination, while escalating issues and trends for leadership review.

Essential Duties and Responsibilities Key Responsibilities

  • Maintain and update GHS performance trackers, projections, and reports in alignment with established monthly, quarterly, and annual targets.
  • Monitor progress against goals, identify variances or trends, and escalate findings to the Vice President for review.
  • Run recurring and ad hoc reports using Zoho Analytics and Zoho CRM; compile and summarize data for leadership review.
  • Track Concierge Team progress against assigned goals, follow up on deliverables, attend weekly meetings, and document action items.
  • Track receipt of GHS checks and calculate commissions using established guidelines; coordinate with Accounting to resolve discrepancies.
  • Support agent communications by responding to routine inquiries related to the Master Referral Agreement (MRA) and escalating complex matters as appropriate.
  • Process and track Vice President expenses through Concur; maintain organized, audit-ready expense and invoice records.
  • Coordinate social media activity for the GHS Instagram account by scheduling posts and supporting content development in collaboration with Marketing.

Requirements

  • Associate’s degree preferred; one to two years related experience and/or training; or equivalent combination of education and experience in a real estate environment.
  • Minimum one (1) year experience in a real estate environment preferred.
  • Strong organizational and communication skills.

  • Excellent prioritization and time management skills.
